Nemours is seeking a Special Events Coordinator (FULL-TIME), to join our Nemours Children's Hospital team in Orlando, Florida.
Located in Orlando, Fla., Nemours Children’s Hospital is the newest addition to the Nemours integrated healthcare system. Our 100-bed pediatric hospital also features the area’s only 24-hour Emergency Department designed just for kids as well as outpatient pediatric clinics including several specialties previously unavailable in the region. A hospital designed by families for families, Nemours Children’s Hospital blends the healing power of nature with the latest in healthcare innovation to deliver world-class care to the children of Central Florida and beyond. In keeping with our goal of bringing Nemours care into the communities we serve, we also provide specialty outpatient care in several clinics located throughout the region.
The Special Events Coordinator leads and oversees the Orlando Fund's event strategy, planning, and execution of logistics to maximize revenue generation and fully integrate events into ongoing donor relations efforts. In alignment with the overarching event and team goals, a successful Coordinator supports and partners with the Fund team in conducting sponsorship outreach and securing ticket sales. The Special Events Coordinator is responsible for helping to identify and develop strategies and tools that positively impact event return on investment and event revenue, incorporating enterprise best practices, and maximizing event attendee experience. Her/his duties also include volunteer, budget, and vendor management.
Signature and Third-Party Events
Plan, manage, and execute all Orlando Fund special events and third-party events. Serve as primary contact for smaller third party events and support primary relationship manager for larger scale events.
In partnership with the Fund team, develop fundraising strategies for all Fund events.
Collaborate with the Fund team in solicitation outreach to past event sponsors and new prospects, which includes tracking of event sponsorship solicitations and gifts, as well as disseminating collateral and event information.
Manage all event logistics; on-site coordination; event programming; volunteer recruitment, training, and engagement; and coordination with associated vendors and contractors. Oversee host committee strategy and manage all host committee communications and meetings.
Partner with the Marketing and Communications department and Fund Communications and Promotions Coordinator to develop creative collateral, event web sites, and marketing/promotion materials.
Inform and manage event budgets to meet/exceed revenue goals and keep expenses within or below projected budget. Serve as contract negotiator, seeking discounted pricing or in-kind donations to reduce event costs.
Cultivation and Stewardship Events
Coordinate and execute logistics for all cultivation and donor recognition events.
Planning and Data Management
Develop annual event operating plan that outlines event strategy, functional goals and objectives, resource requirements, and measurable outcomes. Develop and mange events calendar.
Collaborate with Fund team to manage all event-related data in Raiser's Edge event module. Partner with Senior Donor Relations and Data Specialist to ensure that event gifts are correctly entered and acknowledged. Support the pledge fulfillment process for event gifts and sponsorships in collaboration with Fund team.
Bachelor's Degree required.
Minimum of five (5) + years' experience managing special events required.
Strong interpersonal skills with the ability to work effectively, independently, and cooperatively with leadership, volunteers, administration, staff, donors, and corporate alliance partners.
Demonstrated success in organizational, project management, and planning skills.
Strong proficiency in Microsoft Office programs, especially Excel, as well as working knowledge of Raiser's Edge and Qgiv preferred.
Must possess a working knowledge of overall development, cause-related marketing, events, and communications.
